HOURS: Full time. Generally 10:30 a.m. until 7:00pm, weekdays.

Reports to: Executive Director. Also works closely with Director of Music Education.

Compensation: $15 to $18 per hour, depending on qualifications and experience.

Benefits: medical, dental, vision. Employer contributes at least 75% to medical and 100% to Dental and Vision. Employer pays into 401k, and contributes to HMA account.

 

-Be the gatekeeper for a lobby at the entrance of an active after-school organization in its busiest times.

-Assist the director of music education in coordinating and managing on-site in-person lessons/classes and/or Zoom-based online video lessons utilizing breakout rooms.

-Build relationships and maintain communication with students and their families regarding registration procedures, school activities, schedule changes, requirements, etc.

-Track and report on volunteer teacher and student enrollment, absences and tardiness

-Greet visitors, teachers, students and families with enthusiasm and a smile

-From time to time assist executive director in administrative functions as assigned, including telephone, e-mail, photocopying, photography, directing mail.

-Maintain and update front lobby bulletin boards

-Be responsible for the general appearance and cleanliness of the lobby and reception area, including holiday and seasonal decorations, with frequent, timely updates.

-Assist the director of music education in informing families about qualifications for enrollment, instrument policies and lesson/class schedules, tardiness, practice, performance evaluations, etc.

-Welcome families and sign in students and teachers

-Assist the director of music education in making timely phone calls in response to teacher and/or student cancellations and rescheduling

-Photograph, organize and maintain images of students and board members, using FileMaker Pro database

-Assist director of music education with student and family surveys and questionnaires periodically

-Administer the “Star Prize” system, recording stars, awarding prizes and tracking star accounts for students

-Procure and manage the process of birthday and holiday cards for students, board members, and selected donors in support of the executive director

-Assist in communication with students and their families regarding activities, events, schedule changes, requirements, etc.

-Procure and set up food and drink for daily students, occasional guests touring the School, as well as for board and committee meetings.

-Help keep kitchen organized and tidy.

-Order office and janitorial supplies as needed

-Daily social media posting

-Assist in marketing and PR

-Transfer JoMS newsletter articles to social media and blog posts

-Regular e-blasts for marketing, PR, and recruitment, in coordination with staffers in those areas

-Regular website updates (WordPress platform)

-Semi-weekly merging, printing and mailing acknowledgment letters to donors

-Other duties as assigned

QUALIFICATIONS: The candidate must have excellent interpersonal, organizational and computer skills and be self-motivated. Solid writing skills are a big plus. The candidate must be comfortable working with children and families of diverse ethnicities, backgrounds, and living situations. This job requires multi-tasking. The candidate must be flexible and responsive while acting as the face of the organization to hundreds of people through the week. Experience with database software (FileMaker Pro and/or Excel), Outlook, and with WordPress are highly desirable. English-Spanish bilingual is desired, but not required.
